CPDKeep (“we”, “us”, or “our”) operates the CPDKeep application at cpdkeep.com.au (the “Service”). The Service helps Australian health professionals track Continuing Professional Development (CPD) activities.

This Privacy Policy explains what personal information we collect, how we use it, and the choices you have. It applies to all users of the Service.

1. Information we collect

• Account information: your name, email address, profession, registration type, and CPD cycle start and end dates that you provide when you sign up or update your profile.
• CPD records: the CPD activities you log, including titles, descriptions, categories, hours, dates, providers, and any evidence files (such as certificates) you upload.
• Email forwarding data: emails you choose to forward or import so we can parse potential CPD activities on your behalf.
• Billing information: transaction details processed securely through our payment provider, Stripe. We do not store full card numbers.
• Usage and technical data: device, browser, and interaction data used to operate, secure, and improve the Service.

2. How we use your information

• To provide, maintain, and improve the Service and your account.
• To track and report your CPD progress and generate audit-ready reports.
• To send CPD deadline reminders and service-related notifications you have requested.
• To process payments and manage your subscription.
• To respond to your requests and provide support.
• To comply with our legal and regulatory obligations.

We do not sell your personal information to third parties.

3. Storage and security

Your information is stored with our trusted cloud service providers and is protected in transit and at rest using industry-standard encryption. We apply access controls and reasonable technical and organisational measures to protect your data. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

4. Cookies and local storage

The Service uses essential technologies to keep you signed in and remember your preferences (for example, a local storage entry that stores your chosen light or dark theme). We do not use advertising cookies or sell data derived from cookies.

5. Sharing of information

We share information only as needed to operate the Service, including with:

• Service providers that process data on our behalf, such as database and authentication hosting, payment processing (Stripe), and transactional email (Resend). These providers are bound by confidentiality and security obligations.
• Team administrators where you accept an invitation to join a team workspace, limited to the CPD compliance information that team administrators need to oversee.
• Authorities where required by law or to protect our rights and the safety of others.

6. Your rights and choices

You can view and update your profile and CPD records at any time within the Service. You may request access to, correction of, or deletion of your personal information, or a copy of your data, by contacting us. If you are covered by the Australian Privacy Principles, we will respond in accordance with those principles.

7. Data retention

We retain your information for as long as your account is active or as needed to provide the Service. If you close your account, we will delete or anonymise your data, except where we are required to retain it for legal, accounting, or billing purposes.

8. Children

The Service is intended for registered health professionals and is not directed at individuals under 18. We do not knowingly collect personal information from children.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page with a revised “Last updated” date and, for material changes, provide notice through the Service.
